Moving guests between hotel, ceremony and reception

Start with a timeline. When must guests be seated? How long between ceremony and reception? When does the last dance end? The price of a wedding bus rental depends mostly on hours and vehicle size, so a clear timeline gives you a clear quote.

Most weddings need two runs at the end of the night: an early one for older guests and families, and a last one after the music stops. Put both on the plan. Give the driver one contact who is not the couple, so nobody interrupts the first dance with a transport question.

Choosing the wedding shuttle size

A Sprinter van takes 17 to 19 guests. A minibus seats about 16 to 19. A motorcoach seats 49 or more. Venues in the country often have narrow lanes. Ask the venue whether a full-size coach can reach the door, or whether a minibus shuttle is safer. For the couple, a sedan or SUV is a simpler booking than a separate limo.

Checking the vehicle, not just the photos

A wedding is the wrong day to find out a vehicle was not safe to run. The NTSB found the 2018 Schoharie limo had been dispatched while under an out-of-service order. Check the carrier in FMCSA's Bus Safety Search, which shows a carrier's safety history and out-of-service orders, if any. Get the USDOT number with the quote and check it before you accept.

Questions

How many shuttle runs do we need?

Usually one or two to the ceremony and two at night. Send the guest count and timeline and we plan the runs.

Can guests drink on the shuttle?

It depends on the state and the operator. Ask when you book. Drivers may not drink in the 4 hours before driving, and may not hold open alcohol.

What if the reception runs late?

Tell the driver early. Extra time can change the price. Agree a latest finish time on the quote so there is no surprise.
