Charter bus rental for school trips

School trips come with paperwork, parents and a hard schedule. Here is what to check before a school charter bus rental, how to plan the days, and what the driver needs from the teacher in charge.

Checking the carrier the way your district expects

Most districts ask for proof that the bus company is safe. Get the carrier's USDOT number and look it up in SAFER or FMCSA's Bus Safety Search. The highest rating is "Satisfactory". A carrier marked "Not Rated" may still operate, so ask your district which ratings it accepts. An Unsatisfactory or out-of-service carrier should not run your trip. Ask us for the carrier's USDOT number and check it before you sign.

What the rules require

  • Look up the carrier by USDOT number in FMCSA Bus Safety Search / SAFER.
  • Vehicles designed for 16+ (incl. driver) need a CDL passenger (P) endorsement.
  • No driving after 60/70 on-duty hours in 7/8 days.

A charter bus is not a school bus

The federal CDL definition of "school bus" excludes for-hire charter operations. So a charter coach is not held to school bus rules. It is held to commercial passenger rules. Once a vehicle is built to carry 16 or more, counting the driver, its driver needs a passenger-endorsed CDL.

If seat belts matter to your district, ask for them. Buses built since November 28, 2016 and weighing over 26,000 pounds must have passenger seat belts. Say so when you request a quote, and we ask for a coach that has them.

Planning a multi-day trip around driver hours

Driving is capped at 10 hours after 8 hours off, and ends once 15 hours on duty have passed. Over a week there are 60- and 70-hour limits too. A Washington, DC tour with early monuments and a late show fits only if the schedule respects that. Send the full itinerary. If it is too long for one driver, we plan a second.

Count bags as well as students. A full-size coach has under-floor bays, but a full band trip with instruments fills them fast.

Questions

Can we see the carrier's safety rating before we book?

Yes. Ask for the USDOT number and check it in FMCSA's Bus Safety Search or SAFER.

What if the itinerary changes after we book?

Tell us straight away. A longer day can change the price, and it may push the driver past the hours limit.

How many chaperones ride free?

The quote is for the whole vehicle, not per seat. Chaperones ride on the same price. Just count them in the head count.
