Charter bus rental for corporate events

Corporate transport fails in small ways: a shuttle loop that runs long, a coach at the wrong hotel entrance, a driver out of hours at 11 pm. This is how to plan it so none of that happens.

Planning a conference shuttle loop by charter bus

A charter bus rental for a conference is a loop: hotels to the venue in the morning, back in the evening. Start with the numbers. How many people, how many hotels, and what time does the first session start. One motorcoach seats 49 to 81. If 300 people need to arrive in a 45-minute window, one coach is not enough, however fast it loops.

Give us every hotel's exact pickup door. Big hotels have more than one, and not every driveway takes a 45-foot coach. Name one person on your team who can change the plan on the day and has the driver's number.

Checking the operator before you sign

A charter gives your group sole use of the bus, under one contract. Your travel or risk team will want to know who is running it. Ask for the carrier's USDOT number. Look it up before booking. On the day, check that the carrier name and USDOT number on the side of the bus match the quote. If they don't, call us before anyone boards.

What the rules require

  • A charter is a group's exclusive use of a bus under one contract.
  • Regulated buses must show carrier name and USDOT number on both sides.

Dinners, offsites and the driver's day

The rule allows 10 hours of driving once a driver has had 8 consecutive hours off. A day that starts with a 6 am airport run and ends with a late client dinner can run past that. Tell us the whole day, not just the dinner. We plan around the rules, which may mean a second driver or a second vehicle for the evening.

For dinners, give the restaurant address and the pickup time. The driver waits nearby, not outside the door. Waiting time and the total hours are what change the price most.

Questions

How many coaches do we need for a conference shuttle?

Divide the headcount by the seats, then check the arrival window. If the loop takes longer than the window allows, add a vehicle. Send us the numbers and we work it out with you.

Can we mix vehicle sizes for one event?

Yes. Many events use coaches for the shuttle loop and sedans or SUVs for speakers and executives, all on one booking.

What if the event runs late?

Tell the driver as soon as you know. Extra waiting time can change the price, and a very late finish can hit the driver's hours limit.
