Charter bus rental for church groups
Church groups travel for retreats, youth camps, conferences and mission trips. The question is usually whether to book a charter bus rental or use the one the church already has.
Hiring a charter bus vs driving your own
FMCSA says an organization that owns its own bus may be a regulated passenger carrier, whether it is faith-based, educational or non-profit. If the vehicle is designed for 16 or more, its driver needs a passenger-endorsed CDL, and the organization must drug and alcohol test its CDL drivers.
Some rules are lighter for non-business private carriers, but the core duties stay. For a one-off trip or a long run, hiring a charter moves that work to the operator. You book the trip. The operator supplies the licensed driver and the vehicle.

What the rules require
- FMCSA: organizations owning their own bus may be regulated passenger carriers.
- Organizations must run drug and alcohol testing for their CDL drivers.
Retreats, youth trips and conferences
A 35-passenger midsize coach suits many church groups. It is big enough for a youth group and small enough for a camp road. For a whole-congregation trip, a full-size motorcoach. For a mission team with gear, count bags as well as people.
For a youth trip, send the number of adults and students and a named leader. The driver takes instructions from one person. For a Sunday trip, give the exact church address and the door the group leaves from, because church parking lots can be tight for a coach.
Planning for older members
If anyone uses a wheelchair, ask for an accessible coach. Ask early: operators can require up to 48 hours' notice. Plan more stops on long runs. Most full-size coaches have a restroom, but not every smaller vehicle does, so check the quote.
Questions
Can a church member drive the hired bus?
No. A charter comes with the operator's driver, who holds the licence the vehicle requires.
What size bus for a youth retreat?
Count students, leaders and bags. Many youth groups fit a midsize coach. Send the numbers and we suggest a size.
Can we book the same bus for a whole weekend?
Yes. Book it as one trip. The operator plans the driver's hours across the weekend.
Can we stop at a church or restaurant on the way?
Yes. Put every stop on the request. Each one adds time to the driver's day, and on a long day a second driver may be needed.
